This policy describes what the Gurugram Amateur Runners Club collects from you, why, who else sees it, and how to get it deleted. It is written to be read rather than to be legally impenetrable, and it describes what this website actually does.
Who we are
The Gurugram Amateur Runners Club is an amateur running club operating in and around Gurugram, Haryana, and online. This website is gurugramamaturerunnersclub.in. For anything in this policy, contact us at contact@gurugramamaturerunnersclub.in or on +91 95823 01820.
What we collect, and when
We only collect what you type in. There is no account to create and nothing is required to read the site.
If you leave a message through the chat
- Your name, phone number and your question
- Which page you were on when you sent it
If you sign up for race updates
- Your name, and your email address or WhatsApp number depending on which you choose
- The city you run in, if you tell us
If you request a free strength training plan
This form collects the most, because the coach needs it to write anything useful:
- Name, email address and WhatsApp number
- Age, sex, height and weight, where you provide them
- How much you currently run, how many days you can train, and what equipment you have
- Any injury, pain or medical condition you choose to describe
- What you are training towards, any target date, and anything else you tell the coach
- Your answers to the three self-assessment screens, and the scores calculated from them
The health box deserves a specific note. It is optional — you can leave it blank and still get a plan. If you do fill it in, you are giving us information about your health, and we treat it accordingly: it is used only so the coach knows what not to prescribe. It is not shown to other members, never published, and never used for anything else. It is stored on our website database at Hostinger and passes through our email provider when the coach is notified and when your plan is sent to you — both are listed below and act only on our instructions. If you would rather not put it in writing, leave it blank and raise it in person instead.
If you post to the run wall
Your name, your city, the run, your pace, what you eat before and after a run, any supplements you take, and what you do to stay fit and healthy. All of it is intended for publication, so please do not write anything here you would not want public — and please do not put medical information in these boxes. There is a private box for that on the training plan form.
If you send us your running journey or a race result
Your name, city, where you started, your story, the race, the date, your finish time and any link to a certificate. Also intended for publication.
If you use the “join the club” form on the contact page
Your name, your running level and what you are training for. This form does not send anything to us directly. It opens WhatsApp with a message already written, which you can read, edit or discard before sending. Once you send it, that message is in WhatsApp and is handled under Meta’s terms on Meta’s servers, outside India. If you would rather not use WhatsApp, email us instead.
Automatically
- Your IP address is used briefly to stop the same person submitting a form dozens of times. We convert it to a short scrambled value that is deleted within minutes and that we do not use to identify you. Separately, our host’s standard server logs record visiting IP addresses for security and troubleshooting in the ordinary way, and Google Analytics uses the address to work out roughly which country a visit came from. We do not look at either.
- Your browser stores your chosen reading speed for the listen-to-this player. That stays on your device and never reaches us.
- Our host and analytics collect standard technical information — see below.
The chatbot
When you ask the chatbot a question, it is sent to our server, matched against our published guides, and answered. We do not store your questions and they are not sent to any outside company or AI service. The answers come from articles already on this site.
Why we collect it
| What | Why |
|---|---|
| Enquiry details | To reply to you |
| Race update signups | To send you the race updates you asked for |
| Plan request details | So the coach can write your plan and email it to you |
| Health information | So the coach knows when not to write a plan and to refer you to a doctor instead |
| IP address | Anti-spam only |
In each case the basis is straightforward: you asked us to do something and we need the information to do it. Where you have given us health information, we rely on your explicit consent, which you gave by choosing to type it in and which you can withdraw at any time.
Who else sees your information
We do not sell your data, and we do not share it with anyone for marketing. It is seen by:
- Coach Kundan Mishra and the people who run the club — this is the only human access.
- Hostinger, who host this website and its database, and who therefore store everything you submit. We also use Hostinger’s Reach tool to manage the race-updates list and send those emails, so if you sign up for race updates your name and contact details are held there. Hostinger is based in the European Union, so that information may be stored outside India.
- Google, through Google Analytics and Search Console, which tell us how many people visit and what they search for. This is standard web analytics: it records that a form was submitted and which page you were on, but not what you typed into it.
- Our email provider, which delivers the messages we send you and the notification the coach receives.
If you choose WhatsApp as your contact method, messages we send you go through WhatsApp (Meta) and are subject to their own terms.
How long we keep it
- Enquiries: 12 months, then deleted.
- Race update signups: until you ask to be removed, then 30 days.
- Plan requests: 24 months from our last contact with you. Health information: 12 months from our last contact, or sooner on request. Ask us and we will delete it, normally within seven days. One narrow exception: where you have taken part in a club activity we keep a record of the fact and date that you made a health disclosure — not its contents — for three years, because we may need it to answer a claim. Everything else goes.
- Run wall and race results: published until you ask us to take them down.
- IP addresses: minutes.
Your rights
You can ask us to:
- Tell you what we hold about you
- Correct anything wrong
- Delete it
- Stop sending you race updates, at any time and for any reason
- Withdraw consent for us to hold your health information
Email contact@gurugramamaturerunnersclub.in. We will action it as quickly as we can and in any case within thirty days. We will not ask you why, and asking will not affect your place in the club.
Who to contact about your information
The Digital Personal Data Protection Act, 2023 requires us to publish the contact details of someone who will answer questions about how we handle your personal data. That person is Kundan Mishra, who coaches the club and is responsible for its data, at contact@gurugramamaturerunnersclub.in.
This is a small amateur club, not a company with a compliance department. You are writing to the coach, and he will answer you himself.
If you are unhappy with how we have handled your information, you can complain to the Data Protection Board of India. If you are in the UK or the European Union, you can complain to your national supervisory authority.
Children
This website is not directed at children. We do not knowingly collect information from anyone under eighteen. If a parent or guardian tells us we have, we will delete it. Anyone under eighteen who wants to run with the club should come with a parent or guardian.
Security
The site runs over an encrypted connection (HTTPS). Submissions are stored in the website’s own database on Hostinger’s servers and are reachable only by people with an administrator login. We keep the software updated.
We should be honest about the limits of that: this is a running club, not a bank. We hold your information carefully, but no website can promise perfect security. That is a further reason to leave the health box blank if you would rather tell the coach in person.
Changes
If we change this policy we will update the date at the top of the page. If we ever change it in a way that materially affects what we do with information already given to us, we will tell the people affected directly.
